Installation & advice

Add an email signature in Outlook

Outlook has several distinct signature editors. Use the instructions for your installed version, then test both new mail and replies.

New Outlook for Windows

  1. Open Settings → Accounts → Signatures. Select the account, add a signature, paste your copied signature and save.
  2. Choose defaults for new messages and replies/forwards. Some builds place this under Mail → Compose and reply.

Classic Outlook for Windows

  1. Open File → Options → Mail → Signatures, or in a new message use Message → Signature → Signatures.
  2. Create a new signature, paste the rendered content, choose the email account and defaults, then select OK. The downloaded .htm file is useful for managed installation; ordinary paste is simpler.

Outlook for Mac

  1. Open Outlook → Settings (Preferences in older builds) → Signatures. Add a signature, paste, and select it under Choose default signature.

Outlook on the web

  1. Open Settings → Accounts → Signatures, or Mail → Compose and reply on older interfaces. Paste and save, then set the new-message and reply defaults.
