Email signature best practices

Give recipients one clear next step. A useful signature remains understandable when images are hidden or formatting changes.

Start with identity

  1. Include your professional name, role, organization and one or two useful contact methods. Add pronouns if you want to.
  2. Use an accurate professional designation. Have your organization approve any regulatory disclosures; a template does not establish compliance.

Test before you send

  1. Send a test to Gmail, Outlook and a phone. Check links, blocked-image behavior, light and dark appearance, and replies.
  2. Keep claims factual, avoid sensitive details and remove expired promotions. A disclaimer does not make ordinary email a secure channel.
